The Oaks North Community Center, Inc. is
currently accepting resumes for the position of Manager at the Center.
Oaks North Community
Center, Inc. is a recreational facility for the 1963 homeowners in the Oaks
North area of Rancho Bernardo. It is
situated on 6.45 acres and includes the following amenities: swimming pool, spa, sauna, library,
woodshop, art room, ceramics room, fitness room, card rooms, billiard room,
lawn bowling green and tennis courts. In addition to the main facility, the
Community Center also owns a 1.75 acre lot and a
half acre lot both of which are zoned open space.
DUTIES:
Administration/Supervision
You will organize,
schedule, direct and supervise subordinates.
You will train and evaluate all office and maintenance personnel.
Facilities
Provide for the
maintenance and repair of the facilities and equipment. Coordinate the maintenance of the lawn bowl
green between the Center’s Lawn Bowl Club representative and the Center’s
landscape contractor. It will be your
responsibility to make emergency repairs in an expedient manner.
Supplies
You will purchase
supplies necessary for the operation, repair and
maintenance of the Community Center.
Projects
Schedule projects
specifically budgeted for with notification to the Board of Directors at
least 30 days prior to the scheduled commencement of the project. Develop and submit a program of activities
and other functions to the Board of Directors for approval on an annual
basis.
Office Duties
The Manager, in
addition to supervising office personnel, is expected to compose and type all
his/her letters as well as compose and edit the Center’s newsletter.
Accounting/Budget/Financial
Management
The Manager will
make the payments due on the Center’s tax returns in a timely manner. You will serve as Assistant
Treasurer/Financial Officer to work with the Board of Directors and
Treasurer/Chief Financial Officer as provided in the Center’s Bylaws. Provide financial services to operate the
Center in accordance with the Financial Policies and Procedures approved by
the Board of Directors.
The Manager will
approve all purchases, payments of invoices and issuance and signature of
checks in compliance with the Board of Directors approved policies and
procedures. You will also review
employee time sheets and submit all payroll information to the Center’s
payroll service. You will also work
with the Center’s bookkeeping service.
This service will make all journal entries and provide financial
statements on a monthly basis.
You will be required
to do on a monthly basis the verifying of all bank deposits, payment of
payroll taxes, review journal entries to assure they are proper and that
supporting documents and written explanations are available particularly with
respect to large and unusual entries.
You will review all accounting files to ensure they are systematically
maintained.
You will plan,
prepare, justify and submit a budget for the operations of the Community
Center by January 15th, annually, to the Treasurer and Budget and
Finance Committee for review and recommendation to the Board of Directors at
the March Board of Directors meeting.
You will arrange for
reserve studies to be made at appropriate intervals and update annually as
necessary.
Personnel
Supervise personnel
functions including staffing, job analysis planning, recruitment, selection,
interviewing, hiring and termination.
You will maintain
compensation and employee benefits records.
It will be your
responsibility to recommend salaries/wages to the Personnel Committee with
justification. Your will also train
and evaluate employees.
Community Center
Members
As the Manager you
are to welcome new members either in the form of a letter or personally. You will provide for the orientation of new
members and or renters providing them with information on activities, clubs
and facilities, etc.
You will be
responsive showing empathy and understanding of any member complaints and
problems.
It will be your
responsibility to keep the members informed with regard to activities,
policies, procedures, equipment malfunctions, maintenance work, special projects,
and schedules.
You will recommend
new Center activities, programs, rules, policies, or procedures. You will evaluate existing programs and
activities.
It will be your
responsibility to check individuals using the Center for membership as well
as compliance with Center rules and regulations.
EXPERIENCE
You should have at
least five (5) years experience in supervision or management of a homeowners association
or recreational facility. You should possess a
knowledge of accounting, computers, Microsoft Word and Excel, the internet
and knowledge of building maintenance.
EDUCATION
Minimum requirement
for this position is graduation from high school or G.E.D. equivalent. Professional affiliation, training and certification thru
Community Associations Institute or the California Association of Community
Managers a plus.
